So you’ve found a property you love and you’re ready to apply — exciting times! But before you hit submit, it pays to be prepared. Landlords and letting agents move quickly, and having the right documents ready from the start can make the difference between securing the home and missing out.

Why Being Prepared Matters

When a great property comes to market, it often attracts multiple applicants. A complete, well-organised application tells a landlord that you’re reliable, serious, and ready to move. Incomplete applications cause delays — and delays can cost you the property.

Getting your documents together in advance takes a bit of effort upfront, but it makes the whole process much smoother once you find the right place.

The Documents You’ll Need

1. Proof of Identity

You’ll need a valid, government-issued photo ID to verify who you are. Accepted documents typically include:

  • A valid passport (UK or overseas)
  • A UK driving licence (full or provisional)
  • A national identity card (EU/EEA nationals)

Make sure your ID is current and not expired — an expired passport or licence won’t be accepted.

2. Proof of Address

Your letting agent or landlord will want to confirm where you currently live. Provide one or two recent documents showing your name and current address, such as:

  • A utility bill (gas, electricity, water) dated within the last 3 months
  • A bank statement dated within the last 3 months
  • A council tax bill for the current year
  • A HMRC letter or government correspondence

P.O. Box addresses are not usually accepted, so make sure the address shown is a residential one.

3. Proof of Income / Affordability

Landlords need to know you can comfortably afford the rent. The general rule of thumb is that your gross annual income should be at least 2.5 times the annual rent (e.g., for a property at £1,200/month, you’d typically need to earn around £36,000+/year).

If you’re employed:

  • Your 3 most recent payslips
  • A recent bank statement showing salary credits
  • Occasionally, a copy of your employment contract or a letter from your employer confirming your salary and employment status

If you’re self-employed:

  • Your most recent 2 years’ SA302 tax calculations (available via HMRC or your accountant)
  • Bank statements showing regular income (usually 3–6 months)
  • An accountant’s reference letter (some landlords may request this)

If you’re a student or on benefits:

  • Your student finance letter or university enrolment letter
  • Proof of any benefits or income (e.g., Universal Credit award notice)
  • A guarantor may be required (see below)

If you’re retired:

  • Proof of pension income — a pension statement or award letter
  • Bank statements showing regular pension payments

4. Employment Reference

Many landlords request a reference directly from your employer to confirm your job title, length of employment, and salary. Your HR department or line manager can usually provide this. It’s worth giving your employer a heads-up that a reference request may be coming so there’s no delay.

If you’re self-employed, a reference from your accountant can serve a similar purpose.

5. Previous Landlord Reference

If you’ve rented before, a reference from your previous landlord or letting agent is extremely valuable. It confirms that you paid rent on time, looked after the property, and were a good tenant.

Part of the referencing process will involve a credit check. A poor credit score won’t automatically disqualify you, but it’s worth knowing where you stand before you apply. You can check your credit report for free through services like Experian, Equifax, or ClearScore.
